Job Description


At Reddy Ice, we are working toward a vision to become North America’s “Total Ice Solution.”  The Communication / Project Specialist is responsible for how Reddy Ice developing and publishing content in a variety of media (intranet, social medias, etc.)  This role will contribute as a team member by creating and delivering communications, policies, and other information to both the internal and external population and is responsible for ensuring that content is relevant, fresh and accurate. This role will also provide special projects support, executive support, and will support standard facility needs at the Operations and Customer Support Center.



  • Working in partnership with senior leadership of the Company- identify and achieve strategic goals through organization and people by:
  • Maintaining web media content by continually editing, removing, and/or supplementing existing content to ensure that content is fresh, relevant, and findable
  • Maintaining and engaging in extensive communications with a variety of media outlets, industry professionals, and companies in various industry spaces
  • Developing and executing communications strategies and media campaigns creatively and in a timely fashion, as identified
  • Creating and executing communications calendars across various external and internal platforms
  • Providing input and strategy-based decisions on managing company image and brand
  • Reviewing media reports and online news stories and circulate hot topics to leadership when needed
  • Coordinating quarterly Town Hall Meetings
  • Creating monthly employee newsletter
  • Creating and maintaining corporate and employee communications as requested
  • Writing, editing and proof reading Reddy Ice communications content as needed or as assigned
  • Overseeing the Reddy Ice Facebook, Linked In, Instagram and Twitter accounts and updating each page with relevant pictures and information
  • Continuously update organizational charts and documents to ensure they contain current information, including employee information

Project Management:

  • Manage transactional projects ensuring the projects achieve the overall objectives as set forth in the project plan (e.g., communication, timeline, project reporting, etc.)


  • Manage incoming and outgoing mail and postage requirements/tracking
  • Manage parking assignments and badge access
  • Reconcile rent and parking bill monthly
  • Point of contact for any building related issues
  • Handle other facility management duties as needed
  • Fills in for the receptionist as needed
  • Planning, organizing and executing employee monthly and quarterly employee events

Administrative and Executive Support:

  • Oversee account setup and management of FedEx, Go To Meeting, and Egencia (online travel provider)
  • Coordinate requirements for special projects/assignments
  • Manage supply orders as needed
  • Drafting and proofing documentation for various policies as needed
  • Completing expense reports weekly
  • Processing vendor invoices weekly


Internal:         Senior Leadership Team

                        Chief Administrative Officer and functional leadership team

                        Line and functional management teams

                        3rd party vendors/partners, as needed

External:        Reddy Ice customers, external vendors and service providers

                        Building Management




  • Bachelor’s degree
  • Minimum of 3 years’ experience in a communication capacity role
  • Excellent verbal, listening and written communication skills
  • Excellent organizational skills
  • Exceptional project management skills
  • Strong computer skills (Microsoft Suite, including Visio, PowerPoint, Excel, Word and Outlook)
  • Very high level of organizational skills, time management and attention to detail
  • Experience multi-tasking and prioritizing work to meet multiple deadlines
  • Comfortable engaging with multiple stakeholders across the business
  • Ability to recommend appropriate solutions that enhance processes and procedures
  • Willingness to ask questions rather than just follow directions is required
  • Competently prioritizes and is flexible working with changing expectations
  • Excellent problem solving and analytical skills, with can-do attitude and self-initiative
  • Must demonstrate a self-starting mindset and ability to work independently with minimal supervision, while concurrently flourishing in a team-oriented environment
